How to fax a PDF from your computer

PDF is the most reliable format for faxing because it keeps pages, fonts and layout exactly as you intended. Most documents you need to fax, from a filled-in government form to a signed letter, either already are PDFs or can become one in a few clicks. This faxfromcomputer.ca guide covers how to create a good PDF on Windows or Mac, check it and send it as a fax.

Make a PDF from almost anything

If your document is not a PDF yet, convert it first. Both major operating systems include a built-in PDF printer:

  • Windows: open the document, choose Print, select Microsoft Print to PDF as the printer, then click Print and choose where to save the file.
  • Mac: open the document, choose File, then Print, click the PDF menu at the bottom of the dialog and choose Save as PDF.
  • Word, Excel and Google Docs: use File, Save As or Download and choose PDF.
  • Web pages: use your browser's Print option and choose Save as PDF.

Check the PDF before you fax it

Faxes print in black and white at a lower resolution than your screen, so a quick review avoids unreadable pages.

  • Open the PDF and scroll through every page. Remove blank pages and pages the recipient does not need.
  • Make sure fillable form fields actually show your answers. Some form fields disappear when printed; if so, print the form to PDF again to flatten it.
  • Check that text is not too small or too light. Coloured text and pale backgrounds can fade on a fax.
  • If the PDF has a password, remove it or save an unprotected copy, as a locked file may not upload.
  • Confirm signatures and dates are visible on the right pages.

Fax the PDF from your browser

faxfromcomputer.ca recommends FaxToFax.com, which works in any modern browser on Windows, Mac or Chromebook, with nothing to install.

  1. Sign in with your email and one-time code.
  2. Start a new fax and attach your PDF.
  3. Check the file name to make sure it is the right file and the final version.
  4. Choose a cover page template, or create a cover page with the recipient's name, your contact details and the page count.
  5. Enter the fax number. To send the same PDF to several offices, add up to 50 numbers.
  6. Confirm each number on the check screen.
  7. Send now, or schedule the fax for up to 90 days ahead.
  8. Check the status. When it says Delivered, a time-stamped delivery receipt is saved with the fax.

Faxing PDFs to Canadian government offices

Some federal and provincial offices, including some CRA programs, list fax as a way to send certain documents. The rules vary by program and change over time, so check the agency's current instructions for your form or letter, including the correct fax number and whether they want a particular cover sheet. Write your reference or account number only where the agency asks for it, and keep your delivery receipt.

Page counts and costs

Each page of the PDF uses one plan page when sent to Canada, the US or the UK. A 12-page PDF sent to three recipients uses 36 pages. If a fax fails, no pages are used. The Personal plan includes 200 pages a month, and extra pages are $0.10 each; Business includes 500 pages at $0.07 per extra page.

FAQ

How to Fax a PDF from Your Computer: questions

Is PDF the best format for faxing?

Usually, yes. PDF keeps layout and multiple pages together. FaxToFax also accepts PNG and JPG for single images.

Why did my filled-in form fax as blank?

Some form fields are not flattened into the page. Print the form to PDF (Microsoft Print to PDF or Save as PDF on Mac) and fax the new copy.

Can I fax a password-protected PDF?

Remove the password or save an unprotected copy first. A locked file may not upload or convert correctly.

Can I edit the PDF in FaxToFax before sending?

FaxToFax lets you compose text in its editor, but it is not a PDF editor. Make changes in your PDF program first, then attach the final version.
